Outcome

After presenting the concept and demonstrating potential workflow improvements, the initiative gained internal interest but was deferred due to budgetary and technological limitations within the firm’s existing infrastructure. Nonetheless, the project successfully increased cross-departmental awareness of operational bottlenecks and highlighted the potential value of UX-driven process optimization in administrative functions.

Project

While serving as an Executive Assistant at UBS, I identified inefficiencies in the existing expense reporting process used by Executive Assistants, senior staff, and economists. Leveraging my background in UX/UI product design, I initiated a proposal to use artificial intelligence to optimize and streamline the workflow and process of submitting expenses in SAP Concur, a standard expense management software widely adopted in financial institutions.

The objective was to streamline receipt submission and expense reporting, improving coordination between Executive Assistants and Economists while enhancing overall productivity and reducing administrative friction.
